Transcripts from Kerala University & WES Evaluation (updated)

Hi all,

I am back with another topic on Immigration Urfff…Migration.

So,

Anyone who is looking forward to join a Foreign university must have:

• Their Transcripts/official transcripts with them.
• Educational Credential Assessment Report from World Education Services (WES)

Usually, in INDIA, we do not get our Transcript of marks or official transcript(OT), unless requested for. We are generally issued only the MARK SHEETS and of course a Degree certificate.

But the foreign universities do not accept them. They prefer the Transcript of marks or OT.

Mark sheets are issued for each year where as the Transcript has all our mark sheets clubbed into one sheet of paper.

So let me brief you on the procedure to get the Transcript of marks or OT issued from The University of Kerala, Kerala, India.

Step 1

Download a general application form from Kerala university website for transcript and OT separately and Fill it up.

Step 2

Download the Transcript of marks format from the same website, according to your course, and fill it up as well.

You generally will have to edit the pdf only, but in case of spelling or any other mistakes in the format, it may need to be edited in MS Word.

In case your transcript format is not available in the website, you can contact the concerned department in the university and they will provide you with a model format, which you can photocopy and then prepare one for yourself.

(NOTE: in such cases we need to prepare the entire document in MS Word and one must be extra cautious while preparing it, to avoid spelling mistakes).

Step 3

Create a WES account. WES.org

For the purpose of Studying abroad, choose ‘Education’ and proceed.

Other options available are:

• Professional licence or certification
• Employment
• Immigration

The recommended choice of evaluation is Course by course evaluation, WES ICAP, which costs $205, It allows you to send copies of your evaluation form directly to institutions from WES.

Other choice is WES basic, it costs $160, it doesn’t allow the above mentioned perk.

Once you choose your option and make the payment,you will get your WES Reference number.

Step 4

Next, get copies of your;

• All year mark sheets
• 10th standard certificate (some departments may ask for an attested copy)*
• 12th standard certificate ( a few departments require this)*
• Degree certificate copy

If you are a licensed professional ( eg: MBBS/MD), then;

• Copy of your Internship certificate(CRRI) and Medical licence need to be submitted along

Step 5

Get print outs of;

• The transcript form you have prepared

Remember!

To get one copy of transcript of mark issued, two copies of prepared transcripts need to be submitted to the department.

Step 6

Now its time to visit the university. Cross check the documents once again,

For Transcript of marks:

• Downloaded application form
• All year mark sheet copy
• degree certificate copy
• 10th certificate copy
• Prepared Transcript form (2 copies each)
• Copies of other additional documents as required ( 12th standard certificate/medical licence/CRRI certificate)*

For Official Transcript (if you are applying for it)**:

• All year mark sheet copies
• Degree certificate copies
• 10th standard certificate copy
• Copies of other additional documents as required ( 12th standard certificate/medical licence/CRRI certificate)*

Step 7

Go to the challan section of the University. Pay and get challans for:***

Rs. 20 each for downloaded general application form for transcript and OT

Rs. 250 for Official transcript (if you are applying for it)**

Rs. 1000 for Transcript of marks

Step 8

Visit the concerned department and submit the documents

Step 9

wait for call from the university, usually its one and a half weeks

Step 10 

Collect the signed and sealed Transcript of marks or official transcript** from the department.

Take them in a brown/white envelope to the registrar office in the main building.

The person there will cross check the document and will ask you to seal it with gum.

After that he will put the University seal across the cover.

Step 11

Write the WES Reference number on top of the cover.

Enclose this envelope and a copy of your degree certificate in a Cloth lined A4 cover and

you are good to go!!

Remember to note down the WES reference number in the cloth lined envelope as well.

Note: If you are choosing DHL services and you wish to send your as well as your friend’s or spouse’s documents together to save money, then put both the A4 envelope in another cloth lined cover and on the top mention both reference numbers and mention ‘two envelopes enclosed’

IMPORTANT!!!

• There is no need to get the degree certificate attested!!!!! Please refer this link: https://www.wes.org/required-documents/
• There is no need to send the academic documents request form along, its only optional (unless the university is insisting on it).

Once WES receives the documents, it takes about 7 business days to get your evaluation completed.

Update : Mar 2019.

Guys, There have been changes in the format of transcripts issued by the University of late. I would suggest, first directly head to Delaminators in Salphalam complex with your marks sheet and get transcripts typed and printed. The format currently in Kerala University website is wrong. Then follow rest of the university processes as mentioned by Anu in below thread (like application, challan and pass).

If you are looking for sending the transcripts for WES, in addition to the marks sheets and degree certificates, they will insist on the filled in Academic requests form (which can be downloaded from WES) and a copy of transfer certificate from college. If you have already submitted your UG TC at your PG university and doesn’t have a copy of same, then you are screwed. You need to contact your college to get a copy or your PG college for the same.Additionally, the university as stopped giving the sealed envelopes to us. Instead, you need to bring your own envelope, copy of degree certificate with Stamps pasted on envelope (India post Speed post – Post office will paste the stamps for Rs 1400 if for Canada and also with sticker for speed post) and submit the envelope at the B.Tech section office (same place you submitted the application). University will be sign, seal and will dispatch the transcripts from their dispatch department. It will take a day for them to send from section to university post office.
